People

People can be added to your website in two ways. If they have a SUNETid, people are imported from Workgroups.  If they are external, you can enter them manually.

Entering people via workgroups

Every department or program has workgroups associated with them. These workgroups have been set up to import to your website automatically every day. 

Important notes:

  • A person’s information must be public (including their photo, which is a separate setting) on profiles.stanford.edu for them to feed into the site. See more on how to make profiles public.
  • New functionality has been added that will automatically tag people from your workgroups and add them to the appropriate People pages. So when you add a person to a workgroup, and that workgroup is mapped on your website, they will automatically be tagged & placed on that People page.
  • These have already been setup for Department & Program websites. If there are other sites that need help setting this up contact Web Services and we can help with that.

Setup workgroup tagging

  • Go to Configuration > Importers > SDSS workgroup tagging > SDSS workgroup tagging configuration
  • Check the box for Enable Workgroup tagging
  • Under Workgroup tags, in the workgroup field add a workgroup name. Example: sdss:[yourdeptname]-faculty-affiliated.
    • sdss is called the stem. This specifies which school the workgroup resides under.
  • Skip Organization
  • Under Person Type, once you click into the field, a list of your people taxonomy terms will show up. Choose the one that you want to tag to your workgroup. Example: Associated
  • Do not check Auto Remove Terms. This functionality is currently unavailable.
  • If you want to add another workgroup, click on the Add one more button.
  • Once you've added all your workgroups, click Save configuration.
  • This process will run every night.
  • You can manually update these by going to:
    • Configuration > Importers > SDSS workgroup tagging > Run SDSS workgroup tagging manually.

Entering people manually

Occasionally it is necessary to include people on your website that do not have a SUNETid.  If you want to include them in a specific list, like the other people sections of your site (For example: external advisory council members), you can enter them manually.

  1. Hover over All Content > Add Content  in the administrative toolbar, and click Person.
  2. Add First/Last Name, Display Name (if different from first/last name), Pronouns, Short Title, & Full Title as needed.
  3. Add Taxonomy (as needed). Select the section corresponding to the page they need to be added to.
  4. Add Bio & Content: including Photo & Body.
    • To add a profile image under Bio and Content, Photo section:
      • Remove the default image, click the X in the upper right corner of the default profile image.
      • Click Add Media button to select the persons image.
      • If the image is not currently on the site, click the Select File button.
      • Find the image and click Upload and continue.
      • Uncheck the decorative image box and enter their name.
      • Click save and insert.
  5. If needed, add additional Paragraph sections.
  6. Add Contact & Location Information, and Interests & Affiliations as needed.
  7. If they have a Stanford Profile Link, enter it here with link text Stanford Profile.
  8. Scroll to the bottom of the page.
  9. Leave the check box next to Published marked to have the Person published, or uncheck to make them unpublished.
  10. Click Save.
