Learn more about events & how they're imported, canceling and postponing events and event series.

Event

Events are imported from Stanford Events. Depending on visibility, they will automatically feed into your website.

Getting access to Stanford Events 

  • You will need to create an account on their site.
  • When you fill out the form, you let them know what Department you would like to enter events for.
  • When they grant you access, follow instructions in their Help section, starting with Creating an Event.

How to Add an Event

Event Visibility

  • If you have set the visibility to public, these events will import each day.
    • Public events
      • will import into the main Sustainability website.
      • will import into your Department website.
      • will import into the Monday morning email This week at the Stanford Doerr School of Sustainability.
      • will be searchable on Stanford Events, but will not necessarily show in their Featured Events. This is a specific list curated by Stanford Events.
    • Unlisted events
      • will not show in any of the items above. (i.e. No Sustainability site, Department site, This Week @Doerr school email, or Stanford Events feeds & searches).
      • If you want to keep the event private, you can leave it as unlisted, but use the link to send people to your event specifically, without it being found elsewhere.
      • If you want an event to show up in the Monday email, your Dept site or the Doerr school site, you will need to make it a public event.
    • Other Event visibility options
      • You can have an event that is unpublished and include it in embedded code on a web page on your site.
      • You can also bookmark events from other Schools, Departments, programs, etc., that you want to feed into your site.
      • Contact the school's Web & Applications team for these features and we will set up time to work with you.

Additional Event Features

  • Monday Morning Email Feature
    • If you want your event featured at the top of the Event listing in the Monday morning email "This Week at the Stanford Doerr School of Sustainability":
      • Once the event has imported from Stanford Events, locate the event via All Content, then search for the event name.
      • Edit the event
      • At the bottom of the event page look for Promotion options.
      • Check the box for Featured.
    • NOTE: This will need to be done the Friday before the Monday email goes out for it to take effect.
  • Special Event Pages
    • If you need to create a special page on your site with specific currently imported events, contact the school's Web & Applications team for this feature and we will set up time to work with you.
  • Adding Videos & Other Components to imported events
    • If you want to add a video or other components to an event that has imported:
      • Edit the event you want.
      • Scroll down to the section Paragraphs.
      • Click on Add section, choose 1 column, and Save.
      • Hover over the section you just added and click the + sign.
      • Select the paragraph you want to add to your event.
      • Enter the info and click Save.
      • Videos: These are the most common additions after an event.
        • If you want to add a video, select Text Area. You will be adding the video inside the Text Area.
        • In the Body select the Image/Media icon.
        • On the left side tabs, select Video, add the URL to your video here, and click Add Video. Click Save and insert.
        • Click Save at the bottom.
        • The video will be saved inside the Text Area.
        • The video will display towards the bottom of your event info.

Canceled & Postponed Events

What happens to a website event when that event is canceled or postponed in Stanford Events?

All the events on our platform are imported from Stanford Events.  When event plans change, you may or may not need to reflect these changes on your website. 

Canceling an event

If you want to cancel an event, use the Canceled status in Stanford Events, because that update gets pushed to your website. Other changes typically don't, see below.

Canceled events

When events are canceled in Stanford Events, the status update will get pushed to your website. The title will change accordingly to "Canceled: [event title]."

This will happen automatically, and no additional work is required.

Postponed events

Postponements are not pushed from Stanford Events to your website. The event is still connected to the importer, the dates haven't changed, and while the status in Stanford Events shows "postponed", nothing changes automatically on your website.

You'll need to manually postpone the event on your website as well.

To do so:

  • Edit the event title to "Postponed: [event title]"
  • To change the event date, you will need to do this on Stanford Events.
  • Save

Unlisted events

When an event is unlisted (unpublished) on Stanford Events, the event gets disconnected from the importer. This means the event continues to exist on your website but no longer receives updates made in Stanford Events. Relisting (republishing) the event on Stanford Events does NOT reconnect the event.

You'll need to manually unpublish the event on your website as well.

Deleted events

Deleting an event in Stanford Events disconnects the event from the importer. So the event continues to live on your website but is no longer receiving updates from Stanford Events.

You'll need to manually delete or unpublish the event on your website to remove it.

Restricted events

Restricted events aren't pulled into websites because they're not considered public.

Nothing will change.

Event Series

Event Series can be used to create a collection of events to display on your website.
